Archive storage

At Access Records Management, we offer archive storage solutions for businesses of all sizes.

The way a company manages its records is a reflection of the way it manages itself.

When your offices are cluttered by boxes, it’s hard to organise and retrieve files, but it’s also hard to make the most of your space.

archive storageInefficient archiving processes contribute to a culture of organisational wastefulness – and efficient processes contribute to a culture of productivity.

What is archive storage?

Organisations of all sizes accumulate paper records: it’s not unusual for a company to have upwards of 200 boxes full of contracts, agreements, and other items. There are two kinds of document: ‘live’ files, which are consulted, amended, and added to on a regular basis, or ‘dead’ files, which are kept for the sake of accuracy, consistency, and legal compliance.

Separating these files can be something of an ordeal – particularly if your records aren’t organised in any order or according to any system. Though dead files have no apparent use, the law may demand that you hold on to them for years, and possibly decades: for example, if you’re running a building company, an asbestos incident document must be kept for 40 years. The penalties for failing to produce a document on request can be severe, so it’s important to know how long you have to hold on to a file – and when you can or should destroy it. Though it’s an extreme and perhaps unrepresentative example, the Enron scandal was partially caused by the mismanagement of financial records.

The other issue companies struggle with is simple document retrieval – days spent searching through archive storage is time wasted and often detrimental to business, as rapid retrieval is required. Deep storage is a legal business requirement but it shouldn’t come at the detriment of business operations. At Access Records Management, we provide an audit service to identify the files you need to keep, as well as the space and facilities needed to keep them.

Our services

Access Records Management provides the most versatile, comprehensive archive storage service on the market. Using the industry-leading O’Neil Software solution, we allow customers to create their own unique referencing number – which is then added to each and every box in barcode form. This allows you to align the records kept by Access Records Management with your own filing system and it makes the retrieval of documents simple and convenient.

Turnaround is quick, and our solution can be tailored to the customer’s specific archiving needs. If you require your documents on a monthly or quarterly basis, it can be arranged in advance, but it’s also possible to arrange a more rapid weekly, next-day, or emergency same-day service.

Alongside the core archive storage offering, we provide courier services, locked data rooms for particularly sensitive documents (will storage or deed storage for example), and fireproof storage vaults in our London branch. You can also simplify the process of managing your documents electronically by using our digital scanning service.

We serve over 200 businesses in the legal, medical, and accountancy sectors but our bespoke offering is designed with the needs of the individual customer in mind: we consider their requirements carefully and align our services with their operational goals.
